Self-Service App for Parent Coaching Practices

SIZ Group designs a self-service app for parent coaching practices, so families can request sessions, move appointments and check their plan without a phone call to the front desk. It is built around the way a coaching week really runs, from the intake form to the follow-up after a hard session.

01

How parent coaching work flows today and where it breaks

Most parent coaching practices run on a mix of email threads, a scheduling link, a spreadsheet of session dates and a few text messages from parents who are short on time. A parent who wants to move a Thursday evening session writes to three people before the change is written down anywhere.

The breaks show up in the gaps. A reschedule that was agreed by text never reaches the calendar, a reminder goes out to the wrong time zone after a move, and the coach arrives at a video call that the client cancelled the night before. Each miss costs a session slot and some trust.

The parent coaching booking app closes those gaps by making the family's request the record. Every request, change and confirmation sits in one place, visible to the coach and the office, so nobody has to reconstruct the week from memory.

  • Requests arrive in one queue instead of three inboxes
  • Reschedules update the coach calendar on approval
  • Intake forms are completed before the first session
  • Cancellations free the slot for the waiting list
02

What a self-service app for parent coaching practices must prove

The owner or customer experience lead usually signs off on proof, not promises. For this app that means a working booking path from the parent's phone, a reschedule that changes the coach calendar without a manual step, and a reminder that arrives at the correct local time.

They also need to see the plan a family follows between sessions. In a parent coaching client portal, a short, clear view of the next session, the homework the coach assigned and the materials to read builds confidence that the practice is organized, not just busy.

Finally, they will test the edges: a parent who books a session twice, a coach who is ill, and a family that stops responding. The first release should handle each case with a clear status rather than a silent failure.

03

Fitting in with the tools parent coaching practices already use

Many coaches already take bookings through Calendly, Acuity Scheduling or a similar scheduling page, and run video sessions in Zoom or Google Meet. The app does not ask them to abandon those tools. It reads availability from the calendar and writes approved changes back, where the product offers an API.

Payments usually go through Stripe, Square or a payment link in the practice's billing system. The app should send families to that payment step rather than storing card numbers itself, which keeps card data with a provider built for it. Invoices can still be reconciled in QuickBooks or Xero.

Email and text reminders often run through Mailchimp or the scheduling tool's own messaging. We would confirm which channel each family has agreed to before any reminder is sent, and keep the reminder schedule in one place.

What you get

Key features

01

Online session booking

Families see live availability for their coach and book the session type they need. Approved bookings land on the coach calendar at once.

02

Reschedule and cancellation

Clients move or cancel within the practice's policy window, and a freed slot is offered to the waiting list automatically.

03

Intake forms before session one

Structured intake questions and consent forms are completed once, stored securely and shown to the coach before the first call.

04

Reminders the family agreed to

A session reminder app sends messages by the channel each family chose, at the right local time, with a simple confirm or change link.

05

Plan and homework view

The family sees the next session, assigned reading and tasks from the coach, and can mark tasks as done between sessions.

06

Payment and invoice history

Families pay through the practice's payment provider and view past invoices, without the app holding card details.

04

Privacy, consent and standards that shape the build

Parent coaching sits in a grey area of regulation, so the rules depend on the practice. If the coaches are licensed clinicians who bill health insurers, HIPAA may apply, and the app must be built and hosted under a business associate agreement. Practices that do not bill insurance usually fall under general state privacy laws.

Families in California also bring CCPA rights, including access and deletion requests. Text reminders in the United States need documented consent under the Telephone Consumer Protection Act, so the app records opt-in and opt-out for each channel.

Children appear in these records even though parents are the users. We would collect only what scheduling needs, avoid free text fields for a child's diagnosis or school details, and set a retention rule for intake forms so old records do not pile up.

05

The information and access the practice will need to provide

The practice needs to supply its session types, durations, coach availability, cancellation terms and pricing before scoping is complete. Each coach also needs a profile with credentials, photo and a short description, written in the practice's own voice.

Coaching intake forms, consent wording and the reminder copy should come from the practice, reviewed by whoever is responsible for compliance. We will draft structure and layout, but the words families read must be the practice's own.

For access, the owner nominates a primary administrator, and each coach sees only their own calendar and clients. Family accounts are created by invitation, so a link cannot be shared with someone the family did not choose.

  • Practice session types, durations and cancellation terms
  • Coach profiles with credentials and a short bio
  • Consent wording and reminder copy approved by the practice
  • A named administrator who controls calendar access
06

Rolling it out with coaches and families

Coaches adopt the app when it reduces their admin, so the first release should remove the messages they answer most often. Start with booking and rescheduling, and leave advanced plan views for later. Coaches who see fewer late changes will push families toward the app themselves.

Families need one clear invitation and one clear first task, such as booking the next session. Send the invitation from the practice's own address, explain what the app replaces, and keep the phone number visible in case a parent prefers to call.

FAQ

Questions we hear

Still curious? Call +1 254 323 2698 or write to info@sizgroup.com.

Can a self-service app for parent coaching practices work with our current calendar?+

In most cases yes. We check whether your scheduling tool or calendar offers an API during the free scoping call. Where it does, the app reads availability and writes approved changes back. Where it does not, we agree on a simpler sync step before the build starts.

Do we need HIPAA compliance to launch?+

It depends on whether your coaches are licensed clinicians who bill health insurers. If they are, we build and host the app under the required agreements. If not, the app still follows state privacy law and a clear data retention rule. Your compliance advisor should confirm which applies.

Will families be charged for using the app?+

No. Families use the app at no extra charge, and payments go through the payment provider you already use. Your pricing and session terms stay exactly as they are, and we only change how families book and manage them.

What happens after launch?+

Post-launch support is available for fixes, new session types and changes to reminders as the practice grows. The scope and the monthly support terms are confirmed in writing, so there are no surprise charges for work you did not agree to.
