An After School Program App for Sign-Ups, Pickups and Schedule Changes

An after school program app lets families register for sessions, change a pickup, receive late bus alerts and check attendance without a call to the site coordinator. SIZ Group designs and builds the family side as a custom mobile app that works with the enrollment records the program already keeps.

01

Why a family-facing app matters more for after school programs than for a generic business

An after school program runs between the school bell and the evening, when the site coordinator is also supervising a gym, a homework room and a snack line. A parent's question about a bus change or a pickup window arrives at the worst possible moment, often answered by a text sent from a parking lot. The gap between what parents need and what staff can answer is a common reason families drift away.

Program schedules also change constantly. Sessions move for an early release day, a field trip pulls children out for the afternoon and a weather closure cancels everything at short notice. A generic booking tool cannot tell a parent which activity is running, who is authorized to collect a child or whether a bus is still coming, so the app has to be built around those rules.

02

How parents search, compare and decide on an after school program

Parents usually choose an after school program by location, price, the activities on offer and whether the schedule fits a working day. Many hear about a program from another parent at pickup, then check the website on their phone before calling. The first screen they reach should answer the questions they came with.

For this project, the family app should make registration and schedule changes possible from a phone in the evening, without creating an account just to ask a question. Once a child is enrolled, the app should show session dates, pickup rules and attendance in one place. Families who can manage the details themselves tend to stay for the next session.

  • Session registration with dates and fees shown up front
  • Pickup changes with the name of the authorized adult
  • Late bus alerts and bus route updates
  • Attendance history for each enrolled child
03

A step-by-step walk through one realistic journey through the finished family app

A parent receives a message in the afternoon that the Thursday robotics session has moved to the library. They open the app, see the change marked as new and confirm their child's session is still on the list. The app shows the new room and asks whether the child will be collected at the usual time.

Later, the parent needs an earlier pickup for a dentist visit. They choose the pickup change, name the grandparent who will collect the child and submit. The app checks that adult against the list the program holds, then sends the request to the site coordinator with the time and the child's name attached.

What you get

Key features

01

Program registration

Session dates, fees and open places shown first, with registration opening in the waves the coordinator sets.

02

Pickup changes

Families request a different pickup with the adult's name, and the request is checked against the authorized list.

03

Late bus alerts

Delays and route changes reach the family's phone before a parent has to ask the office.

04

Attendance history

Sign-in and sign-out times for each child, visible to the parent and to the coordinator's reports.

04

Rules, privacy and safety that shape the build for after school programs

Only certain rules apply directly, but they matter a great deal. Pickup is the most important: a child may be released only to an adult the family has authorized in writing, and the app must enforce that list as well as the front desk does. Sign-in and sign-out records often support licensing and funding reports, so they should be kept exactly as the program defines them.

Many children are under thirteen, so the app should avoid collecting personal details from children themselves and should keep parent consent on file. Where card payments are taken, they should run through a hosted payment page that meets PCI DSS requirements, and the app should never store card numbers. Screens should also work with large text and screen readers.

05

Seasonality, busy periods and demand patterns for after school programs

Demand for after school programs follows the school calendar. Registration peaks before the fall term and again before the spring term, and sessions run short on early release days, testing weeks and holiday breaks. Summer brings its own sign-up wave, and many families register late once they see the school's schedule.

The app should carry those rhythms rather than fight them. Sessions for early release days and closures should appear automatically, registration should open in waves the coordinator controls, and the late bus alert should go out before a family has to ask. In the busiest weeks, a clear schedule page reduces the calls the coordinator takes.

  • Summer and holiday session schedules
  • Early release days and school closures
  • Registration waves before each term
  • Snow days and weather closures
06

What drives cost and timeline, and how to keep scope under control

The cost depends on how many program sites the app covers, whether enrollment comes from the program's own records or the school district's system, and how many user roles it needs. Pickup authorization and bus alerts add real complexity, so they should be listed as separate items. Those choices set the scope of the first release.

We write that list during the free scoping call and mark each item as first release or later. Any change afterward is priced in a short note before the work starts, with its effect on the launch date. That keeps the owner from learning about extra work from an invoice.

FAQ

Questions we hear

Still curious? Call +1 254 323 2698 or write to info@sizgroup.com.

Can a family register for an after school program through the app without calling the office?+

Yes. A family creates one account, chooses the sessions for each child and pays through a hosted checkout. The coordinator sees each registration in the enrollment list and can add a waitlist entry when a session is full.

How does the app handle pickup authorization?+

Each pickup request is checked against the adults the family has authorized in writing. A request from anyone else goes to the coordinator for a call before the child is released, and the decision is recorded.

Will the app work with our school district's records?+

It depends on what the district allows. Some districts provide a student information export or an API, and others share a daily file. We confirm the options during scoping and build the connection the district permits, and if none is possible the coordinator keeps the roster current by hand.

What should the owner prepare before the scoping call?+

List your sites, session types, registration windows, fee schedule and the pickup rules the program follows. A sample of last term's sign-in sheet and any bus route list will show us how the data is structured.
