Staff Operations App for Language Schools

A language school depends on classrooms that are ready at 8:55, audio that works for the listening test and handovers that tell the next tutor where the class left off. We build a staff operations app for language schools that assigns those tasks, keeps the checklists current and records each problem with a photo.

01

Why a language school needs a staff app more than most

A language school has a different rhythm from most businesses. Classes start on the hour, a placement test runs in a room that must be silent, and a listening exam depends on every headset in the room working. Staff have to be in the right place at the right minute, and a missed step shows up immediately in front of a student.

Most of the routine lives in people's heads or on a laminated sheet by the reception desk. A reception assistant may not know that Room B needs its speakers tested before a Saturday exam, and a tutor may forget to hand over the notes that explain why one group is behind. A staff app that carries those tasks from one shift to the next removes most of that guesswork.

02

Where the day's work usually breaks down

Work tends to fail at the changeover. A tutor finishes a lesson and leaves the whiteboard unwiped and the markers missing, and the next group begins five minutes late. A printed worksheet is short by six copies because the photocopier queue was not checked, and nobody knows until the class has started.

Exam days add a second layer of risk. The invigilator needs timers set, answer sheets counted and each listening station tested, and a single headset that crackles can spoil a whole session. When these checks live on a clipboard, they are either missed or signed off without anyone walking into the room.

03

A testing room walk through, from setup to sign-off

On Friday afternoon the operations lead assigns Testing Room B for Saturday's listening exam. The reception assistant receives the task with the room number, the start time and a checklist: test every headset, confirm the playback volume, count the answer sheets and set the timer at the front of the room.

On Saturday at 7:45 the assistant works through the list on their phone. Two headsets fail the audio test, so each gets a note and a photo of the faulty plug, and the task moves to the technician. The assistant prints the replacement sheets and photographs the room layout for the invigilator, who confirms the room is ready before the first student arrives.

The operations lead sees the closed task and the open technician repair in one list. The headsets are replaced before the next exam, and the record shows when each one was tested. If a student later questions the room conditions, the photos and timestamps are already in the file.

What you get

Key features

01

Exam room setup tasks

Each test has a room, a start time and a checklist covering headsets, audio levels, timers and answer sheets.

02

Classroom reset checklists

Whiteboards, markers, projectors and furniture are reset between classes, with the person who did it named.

03

Equipment faults with photos

A faulty headset or projector is photographed, marked unsafe or out of use, and routed to the technician.

04

Tutor handover notes

Short notes carry from one tutor to the next, so the incoming teacher knows where a group left off.

04

Seasonal peaks and how the app should respond

Language schools peak in September and January when new intakes arrive, and again before English test dates when practice exams fill every room. Summer brings intensive courses that run longer days in the same rooms. A checklist that works in quiet weeks often breaks when two classes share a room for an evening session.

The staff app should add extra checks in the busy weeks, such as a second audio test before each exam block, and let the operations lead shift cleaning and resets to a quieter afternoon. Showing the coming fortnight on one screen lets the team plan before a peak, not during one.

05

Information, access and content the school must provide

Start with the room list: each classroom and testing room, its equipment, its capacity and any audio or accessibility features it has. Add the daily opening routine and the resets between classes, written the way the team actually performs them. Photos of each room in its normal state help a new starter recognise a problem quickly.

Decide who sees what. Tutors see their own rooms and handover notes, reception sees the bookings and the exam tasks, and the operations lead sees everything. If the school stores student records anywhere near the task list, keep them out of the app entirely, so a cleaner never sees a learner's file.

  • Room list with equipment, capacity and audio features
  • Opening routine and class-to-class resets as the team performs them
  • Exam day checklist signed off by a named invigilator
  • Named person to approve checklist changes
06

Mistakes a language school should steer clear of

A common error is a single checklist for every room. A testing room needs audio and silence rules, while a conversation room needs chairs arranged in a circle and a working projector. Splitting the lists by room type keeps each one short enough that people finish it.

Another is letting any tutor close an exam task. Closing a task should require the person who did the check, with a photo or a note attached. Otherwise the record shows a headset as tested when nobody has touched it, which is the kind of gap an inspection or a complaint exposes.

  • One checklist covering classrooms and testing rooms alike
  • Exam tasks closable by anyone, without a named checker
  • Photos stored on personal phones with no room attached
  • Student records visible inside cleaning or reset tasks
FAQ

Questions we hear

Still curious? Call +1 254 323 2698 or write to info@sizgroup.com.

Can staff use the app on a shared reception tablet as well as their own phones?+

Yes. The app works on personal phones and on a shared tablet at reception, with each person signing in to their own tasks. We set the tablet up during rollout so it stays logged in only to the reception role.

What happens if a room check is not finished before a class?+

The task shows as overdue on the operations lead's list, and the assigned person receives a reminder. The lead can reassign it, and the room status changes so a tutor knows the room is not yet ready.

Can the app plan the exam day checklist for each test date?+

It can. Exam days are set up as templates that create the right tasks for each room and time, so the invigilator and reception see the same plan. The template is edited by the operations lead only.

Does the app connect to our timetable?+

It can read the timetable where it can export or share data. Room blocks then create reset and check tasks automatically, so nobody has to copy a booking from one place to another by hand.

How are repairs to audio equipment tracked?+

Each fault is logged with a photo, the room and the time it was found. The technician's repair is attached to the same record, and the item stays marked out of use until the repair is signed off.
