Projects assigned by consultant
Each consultant sees active client projects, the next due item and the client contact in one list.
A staff operations app for HR consulting firms puts assigned client work, checklists, document requests and internal review notes on each consultant's phone. SIZ Group builds it for iPhone and Android, so a handbook draft or a benefits comparison is tracked from request to delivery instead of living in a shared inbox.
HR consultants carry a mixed week: a job description review for a restaurant group, a leave question for a dental practice and an investigation that cannot wait. Much of the work is document-heavy, so losing track of a version carries real cost. A handbook sent to the wrong client, or an old policy reused in a new draft, creates problems that take weeks to unwind.
A staff app ties each task to its client and its deadline. Consultants see what is assigned to them, which documents the client has supplied and which review steps remain. Operations staff can spot projects at risk before a deadline passes, rather than after the client complains.
Owners rarely see the operations behind a late deliverable. They see a slow firm and wonder why, so the internal workflow carries the firm's reputation as much as the advice does. Making task ownership visible to the whole team is the cheapest way to protect it.
Most projects follow the same shape: intake, document collection, analysis, draft, client review and final delivery. Each stage has its own risks. Intake often stalls because the client did not send the headcount or the list of states. Analysis slows when a consultant must search old emails for a previous policy version.
Client review is where tasks disappear. Comments arrive by email, by phone and in a shared file, and the consultant merges them by hand. A staff app that keeps comments inside the project record removes that step and shows the operations manager exactly what is still open.
Handoffs between consultants add their own risk. When a senior moves to another client mid-project, the notes often stay in that person's head. A staff app that keeps checklist status and comments with the project lets the next consultant pick up the work the same day.
Start with the features that remove the most daily friction: assigned projects with due dates, a checklist for each project type and a time log tied to each client. Together they give consultants a clear list for the day and give the operations manager the data needed for billing and capacity planning.
Other ideas can wait. Automatic policy comparison, shared template libraries and offline access for on-site visits are worth discussing, but they should be tested on real projects before they become part of the build.

Handbook, investigation and benefits checklists need senior sign off before a file can close.
Time logs against the right project as the work happens, which makes monthly billing faster.
See capacity by consultant and move tasks before a deadline slips.
Picture a consultant assigned to an employee relations review at a 45-person clinic. The assignment shows the client contact, the complaint summary the HR manager uploaded and the interview schedule. The consultant confirms the first interview and notices that the complaints section of the handbook is missing from the client's files.
Through the week, the consultant logs each interview note against the case checklist, marks the restricted items as confidential and records time to the matter. Notes stay visible only to the assigned team, and the operations manager sees the case move from interviews to findings on schedule.
When the findings draft is ready, the senior consultant reviews it in the same record and returns comments that the consultant answers in the app. The memo goes to the client only after sign off, and the time log closes the matter for billing.
Investigation notes, compensation data and medical leave details are sensitive. The app should require a device passcode or biometric lock, limit downloads to assigned matters and clear local copies once a file has synced. A lost phone must be wiped remotely, and access should end the day someone leaves the firm.
Medical information belongs in a separate restricted area, consistent with the confidentiality rules that apply under the Americans with Disabilities Act. Counsel should also confirm how the firm labels investigation materials, when privilege may apply and what your engagement terms allow for recording interviews. Those answers belong in the app's help text, so every consultant follows the same steps.
Workload bunches up in the fall. Open enrollment materials, benefit comparisons and employee communications have to be ready on a fixed schedule, and a late change to one plan document creates rework for several clients at once. The operations manager should see which consultants carry benefit projects and move work before the deadline.
January is the second peak, with handbook refreshes, new state rules and year-end payroll questions landing together. The app should let the manager set a temporary capacity limit for each consultant, so a quieter December is used for template updates rather than stacking new projects onto the team.
Most pick up the checklists and time log in one session because the screens follow their usual steps. We run a walkthrough on a live project, then adjust any screen that slows people down during the first two weeks.
Possibly. Platforms such as Gusto, BambooHR and Paycom offer integration options that vary by plan, so we confirm what your platform supports during the scoping call before promising a connection.
The manager reassigns the matter to a named backup consultant with the same access rights, and the reassignment is logged. The app never opens a confidential file to anyone outside the approved list.
The starting point for a mobile build is $4,500. The final figure follows roles, checklists and integrations, and it arrives in writing after the free scoping call.
