A Self-Service App for Guests and Owners of Vacation Rentals

SIZ Group builds a customer self-service app for vacation rental managers that lets guests and property owners request services, book cleaners and check on a job without calling the office during a busy check-in. The app runs on the booking calendar your team already uses, so nothing has to be typed twice.

01

Where a busy check-in day turns into phone calls

A vacation rental manager's day is set by checkouts. A cleaner is due at eleven, a guest asks for a late checkout at nine, and an owner calls to ask whether the hot tub heater was serviced. Each message arrives on a different channel: the guest through the booking platform's chat, the owner by text and the cleaner in a group thread. Someone on the team copies each request into the scheduling tool by hand.

Requests break down at the handoffs. A guest's request for extra towels reaches the messaging inbox, but the housekeeper never sees it, and the towels are missing at turnover. An early check-in approved by phone on a Tuesday never makes it into the lockbox schedule, and the owner later sees a charge and asks what happened.

02

What the owner or guest experience lead must see before sign-off

The owner or customer experience lead wants to know that guests can ask for help without writing a long message, and that owners can see what happened to their property without calling. We would test both flows with real booking scenarios from your last peak season, including a same-day checkout and a guest who loses a key. A flow that works on paper but fails under a Saturday turnover does not pass.

Sign-off also depends on each request reaching the right person. Every request type needs a named owner, a response window your team can meet and a way to change or cancel it before the cleaner is dispatched. We would agree on those rules before design, so the app enforces them rather than leaving staff to guess.

03

The first release: what to build first

The first release covers guest and owner requests for the services that cause the most calls: extra supplies, early check-in or late checkout, cleaner scheduling and maintenance reports such as a stuck smart lock or a pool filter alarm. Each request creates one job record that the team can see.

Reminders belong in this release too, but only for actions the guest or owner must take, such as confirming arrival instructions or sending a parking plate. Automated messages stay short, and anything involving money or safety goes to a person first.

Later phases can add guest upsells, owner payout views and a loyalty offer for repeat stays. Those are useful, but they depend on the first release being reliable on the busiest weekend of the year, so we would not start there.

  • Extra supplies and linen requests tied to the booking dates
  • Early check-in and late checkout requests with approval rules
  • Cleaner and inspection bookings for each property
  • Maintenance reports with photos and a status the owner can follow
  • Arrival and parking reminders sent before check-in
What you get

Key features

01

Guest request form

Guests ask for supplies, an early check-in or a late checkout from their booking message, and each request is checked against the stay dates and approval rules.

02

Owner service booking

Owners book cleaners, inspections and repairs for their property, see the cost estimate and approve the job before a vendor is dispatched.

03

Live job status

Guests and owners see whether a request is received, scheduled, in progress or done, with the time of each change, so they stop asking for updates.

04

Turnover-aware scheduling

Cleaning and maintenance jobs cannot be booked into a window that collides with the next arrival, so the calendar blocks those slots automatically.

05

Maintenance reports with photos

Guests and owners can report a broken appliance or a pool alarm with photos, and each report goes straight to the maintenance queue for that property.

06

Arrival details that expire

Access codes and arrival instructions are sent only for a confirmed stay and stop working when checkout closes.

04

Rules and privacy that apply to this app

Several rules are real here. Many cities and counties require short-term rental registration, and some collect a lodging or occupancy tax. The app should never promise a service that breaches a permit condition, such as a limit on guest count, and booking records must support tax reporting. We would confirm local rules with the manager's counsel before any automated message refers to them.

Guest data is personal information. Lock codes, arrival details and identity checks should reach only the guest for their stay and the staff member doing the turnover. Payment details belong with a PCI compliant processor, and the app should not store card numbers.

05

Cost drivers and how scope stays contained

Cost moves with the number of properties, the number of booking sources that feed the app and the number of user roles. Connecting to a property management system such as Guesty or Hostaway takes more work than a standalone request form, but it removes double entry. Mobile apps start at $4,500, and the scoping call confirms the price in writing.

Scope stays under control when every request type is written down with its owner, response window and approval step before design begins. We would hold the first release to the requests that drive calls today and park upsells, loyalty features and payout views for later. Post-launch support covers changes once the team has run the app through a full season.

06

How to measure whether it is working

The measures should be business numbers you already track or can track from the first day. Count inbound messages per booking before and after launch, the share of requests closed in the app without a phone call and the time between a guest request and a confirmed action. Owners should also raise fewer what-happened questions in their monthly reviews.

Review scores that mention service and the rate of late checkouts handled through the app are useful signals as well.

  • Inbound messages per booking, compared with the month before launch
  • Share of requests closed in the app without a phone call
  • Median time from guest request to a confirmed action
  • Owner questions about job status raised in monthly reviews
FAQ

Questions we hear

Still curious? Call +1 254 323 2698 or write to info@sizgroup.com.

Will guests need to download another app?+

Most guests will not install anything for a two-night stay, so the request form opens from the booking message and works in a mobile browser. Owners and returning guests can install the app for faster access, and we would design both paths.

How does the app avoid double entry with our booking platform?+

Stays, dates and guest names are read from the property management system through its integration or export, and job records are written back to the same calendar. If your setup has no integration, the first phase can run from a daily export, although that adds a manual step.

Can the app stop a guest from requesting something we cannot provide?+

Yes. Each request type has rules for lead time, availability and approval. A late checkout, for example, is offered only when the next booking allows it, and the guest sees the answer straight away instead of waiting for a reply.

What happens if a cleaner is running late?+

The job shows as delayed in the owner and guest views, and the operations team receives an alert listing the next jobs at that property. The app can offer a reschedule or a backup cleaner from the approved list, but a person confirms the change before anything is booked.

Who owns the data after launch?+

Your company does. Guest records, job history and property details stay with you, and we document where they are stored and how they can be exported.
