Customer self-service app for Pilates studios

Pilates clients plan their week around a specific reformer, a favorite instructor and a class that fills fast. A customer self-service app for Pilates studios lets members choose a spot, move between classes and manage their pack, while the studio keeps control of capacity, health notes and fees.

01

Why Pilates class booking gets busy in a way other studios do not

A reformer class has a fixed number of spots, and each spot matters. Members often want the same reformer every week, near the window or beside a friend, and the favorite instructor's six o'clock class can fill within hours of opening. Booking is less about finding any time and more about getting the right place in the right class.

The front desk feels that pressure. Members text to ask whether a spot is free, to move from a Tuesday class to a Thursday one, or to be added to a waitlist that nobody updated. A late cancellation can leave a reformer empty while someone on the waitlist waits to be told.

Pilates studios also hold health details that change how a class runs. A member may have had surgery, be pregnant or be returning from a back injury, and the instructor needs that information before the first set. The booking system should carry that note with the class roster, not leave it in a message from last week.

02

How class bookings flow through a Pilates studio today, and where they break

Most studios run bookings through a boutique platform such as Mindbody or a similar tool, a wall calendar for instructors and a waitlist kept on paper or in a messaging app. Classes are created weeks ahead, spots are sold through the platform, and changes after that point are made by hand.

The breaks come at the edges. A class is moved for a training day, and the members booked into it receive no notice. A member switches to a spot near the door, but the floor plan does not update until the next morning. An instructor swaps in at the last minute, and the health notes stay on the original instructor's list.

We would map each change during a normal week, marking where the studio relies on a phone call or a message thread to keep the floor plan and the roster correct. Those are the points the app has to cover first.

03

The first release: the self-service features worth building before anything else

The first release should let members book and cancel inside the window, choose a reformer where spot selection is used, join a waitlist and see their pack balance. Those four cover most of the calls the desk receives. Health notes come next, because they need a clear review step before anyone relies on them.

Guest bookings, gift cards and referral credit are useful but can wait. Each adds a rule about who pays and who is responsible in class, and those rules take time to agree. The scoping call sets the cut-line in writing, so the first release stays focused.

What you get

Key features

01

Pick your reformer

Members choose a spot on the studio floor plan, with the instructor's note about any setup needs.

02

Class swaps and waitlists

Members move to another class or join a waitlist, and a freed place is offered in the order of the list.

03

Pack and membership balance

Classes left on a pack, the expiry date and the next billing date appear on the home screen.

04

Health and pregnancy notes

Members update injury or pregnancy details, and the instructor sees the change before the next class.

05

Private session booking

Members book one-to-one sessions with a chosen instructor, within that instructor's available times.

04

A member's week, step by step, in the self-service app

Consider a member who takes the same six o'clock reformer class on Tuesdays. On Sunday evening she opens the app, sees her usual spot marked as free and books it with one tap. Her pack shows four classes left, so she also notices an expiry date three weeks away.

On Tuesday morning a work trip comes up. She moves the class to Thursday from the same screen, and the spot she gave up is released to the waitlist at once. Her instructor sees the change on the roster, and the waitlisted member receives an offer for the spot. Later that week she checks her pack and renews it from the reminder.

  • Usual spot shown as free on the floor plan before booking
  • One-tap booking confirms the class and the pack balance
  • Moving a class releases the spot to the waitlist at once
  • Instructor roster updates when a member moves or cancels
  • Renewal reminder links straight to the pack purchase
05

Getting members and instructors to use the app for every booking

Members change habits quickly when the app is the easiest route to what they want, such as their usual spot. We would start with the booking screen only, so members learn one action, then add pack balance and class swaps. The front desk keeps the phone line open for the first month and sends a link to the app each time someone calls.

Instructors need the roster and health notes on their phone before class, along with a short session on setup. A review after the first busy stretch, usually the January rush or the start of a new term, shows which screens need simplifying and which messages members ignore.

06

How to measure whether member self-service is working for the studio

Measure how much of the booking traffic now happens without staff: the share of bookings and class moves made in the app, the number of desk calls about class times and spots, and how many waitlist spots are filled within the first hour after a cancellation.

Watch the studio's outcomes as well. Look at class fill rate across the week, the late cancellations that were charged or waived with a reason, and whether members who book in the app keep their packs for longer. Each figure is defined with you in writing during the scoping call.

  • Share of bookings and class moves made in the app
  • Desk calls about class times and spot availability each week
  • Waitlist spots filled within an hour of a cancellation
  • Class fill rate across the week, reviewed each month
FAQ

Questions we hear

Still curious? Call +1 254 323 2698 or write to info@sizgroup.com.

Can members still choose their reformer when they book?+

Yes, if your studio uses spot selection. The floor plan shows which spots are free, and the instructor's notes stay attached to the class. If you run first-come classes, the app can keep that setting instead.

What happens when a member cancels inside the window?+

The app applies the cancellation window you set, releases the spot to the waitlist and shows the member the result before it is confirmed. Late cancellations are charged or waived by staff, and the reason is recorded.

Do we need to store health information for pregnancy and injuries?+

Health notes are kept apart from the booking record and are visible only to the instructors who teach the member. Your attorney should confirm which rules apply to forms and waivers in your state.

Can members book a class for a friend?+

Not in the first release unless the studio asks for it. A guest booking needs a waiver and a clear fee rule, which we agree first, because the member is responsible for the guest during class.

How does a substitute instructor cover a class?+

A substitute is assigned in the app, and the roster and notes move with the class. Members see the new instructor's name, so nobody arrives expecting a different class.
