Customer Self-Service App for Art Schools

Students and parents at an art school want to enrol in a ceramics course, book a kiln firing or reserve a portfolio review without a long email thread. We design a customer self-service app for art schools that handles those requests, the safety checks and the materials lists in one place.

01

How prospective students compare art schools and what the app must show

A prospective student usually compares art schools by portfolio requirements, studio access hours and the materials they will need to buy. Many search for a specific medium, such as wheel throwing, printmaking or jewelry making, and they expect a clear course page with dates, prices and the supply list. A school that lets them reserve a place without a phone call often gets the enrolment.

Once enrolled, students become regular users. They check a kiln firing window, swap a Tuesday life drawing class for a Thursday one, or ask whether an open studio pass covers the print press. The app should answer each of those questions in a few taps and show what happens next.

The owner will judge the app on whether enrolment is finished inside it and whether the school inbox quietens down. Record the enrolment emails, kiln questions and supply list queries for the month before launch, so the comparison afterwards is fair.

02

The first release and the requests worth handling first

Start with the requests students make most often: course enrolment, kiln firing reservations, portfolio review slots and materials kits. Each request lands in one list with the student, the course and the teacher attached, so staff can approve or decline without copying details from one screen to another.

Exhibition ticketing, alumni directories and a full online gallery can wait. They rely on different permissions and extra content, and they do not solve the enrolment and booking load the school has today. Add them later, once the core requests are working and staff know the routine.

  • Course enrolment with capacity checks and waitlists
  • Kiln firing slots tied to the firing schedule and loads
  • Portfolio review bookings with the reviewer's availability
  • Materials kit requests linked to the course supply list
03

Fitting in with the software an art school already uses

Many schools already use a class registration system, a shared calendar and a card terminal for studio fees. The app should read course and calendar data from those sources, so the supply list and firing schedule are never typed twice. Where a source offers no export, we agree a simple daily import instead.

If the school has no registration software that fits, describe the category you need and we will design the enrolment flow around it. The main rule is one source for each fact: course dates, kiln loads and studio access should each come from a single place the staff trust.

What you get

Key features

01

Course enrolment

Students pick a medium and a session, see live places and pay the course fee before the seat is held.

02

Kiln firing reservations

Book a firing slot in the schedule, with the load limits and glaze rules shown before confirming.

03

Portfolio review bookings

Choose a reviewer and time, and upload the work to be discussed ahead of the appointment.

04

Materials kit requests

Order the supply list for a course, with the price shown and pickup or delivery chosen in the app.

05

Safety induction status

Students see which inductions they have completed and when each one expires before booking a restricted tool.

04

Safety, age and privacy rules that apply to an art school app

Art schools often teach teenagers, and some offer youth classes. COPPA applies to any account created by a child under 13, so a parent must give verifiable consent before personal details are stored. Keep the child's record to the name, age band and course information needed to run the class.

Kiln, press and power tool access usually depends on a safety induction. The app can record who completed each induction and when it expires, and block a booking until it is valid. If staff handle glazes, solvents or pigments, keep the safety data sheets linked from the course page, as OSHA's hazard communication standard expects for workplace chemicals.

05

Information, access and content the school must supply

Start with the course catalogue: each course, its medium, the dates, the price and the teacher. Add the supply list for each course with quantities, plus the kiln firing calendar and any rules about studio access outside class hours. Students rely on those details, so they need to be accurate before launch.

Also provide the portfolio review requirements, the refund and transfer policy and the wording you use with students. Decide who approves refunds and who may see medical notes. Name one person who signs off on copy, so the team is not waiting for a decision that nobody owns.

  • Course catalogue with media, dates, prices and teachers
  • Supply list for each course with quantities
  • Kiln firing calendar and studio access rules outside class hours
  • Named approver for refunds and medical notes
06

Rolling it out so students and teachers use the app

Students will use the app when their next step is already in it. Launch with the spring enrolment window, when new students are signing up anyway, and send them the link with their confirmation. Current students should receive a short note explaining where their kiln bookings now live.

Teachers should try the app before students do. Ask them to book a firing and a portfolio review themselves, and to tell you where the wording confuses them. Keep the email route open for a term, so students who prefer it are not penalised.

FAQ

Questions we hear

Still curious? Call +1 254 323 2698 or write to info@sizgroup.com.

Can students still email the school instead?+

Yes. The app adds a request route, but email and the phone line stay available for questions that do not fit a form. Staff can log an emailed request against the same record so nothing is lost.

How does the app handle a kiln slot that runs over?+

Staff can move a firing or mark it as overrun, and affected students are notified with the new time. The original booking stays in the record so the change is traceable.

What about students under 13 in youth classes?+

A parent creates the account and gives verifiable consent before any child details are saved. The app keeps only the information needed for the class, such as the name, age band and the course.

Can the app take payment for course fees and materials?+

Yes, through a PCI DSS compliant card processor, so card numbers never reach the school's own systems. Refunds are issued by staff in line with the policy you set, and the app records each one.

Who can see medical notes or accommodation requests?+

Only the staff roles you choose. We keep those notes out of teacher and front-desk views by default, and each view of a note is logged to the user who opened it.
