A Renter Retention App That Keeps Units Occupied

SIZ Group designs and builds a customer retention app for self storage operators that keeps renters informed and renewing between rent cycles. It sends timely notices before rates change, shares guidance on packing and access, and makes it easy for a renter to keep or resize a unit without a phone call.

01

Why renters leave a facility and rarely say why

Storage renters often leave without much of a conversation. A move is finished, a box or two is left behind and the unit is empty by the end of the month. The facility rarely learns why, because the renter never returns to the front counter and the online account goes quiet.

Retention in this trade depends on small, timely signals. A renter who gets a fair rate notice before an increase is more likely to stay. A renter who needs a bigger unit for a new job will move out if nobody offers the upgrade. The team usually sees those moments too late, after the renter has started searching elsewhere.

02

Where renter communication stalls after move-in

Today the communication is mostly reactive. Rate changes go out in a bulk letter or email, unit upgrades are offered only when a renter asks, and reminders for past-due accounts arrive late. The front desk fills the gaps with phone calls that repeat the same answers.

Once a renter has moved in, there is little reason for anyone to write. Packing tips, seasonal advice on climate-controlled units and access reminders for holidays never reach them. The gap is not a lack of effort. Nobody has a schedule of useful messages tied to each unit.

03

Proof points for the marketing team's sign-off

The marketing manager will want to see renters staying longer and upgrades rising, measured against the same sites before launch. We would agree those measures first and pull them from the management software, not from a campaign tool. A renter who stays through a rate change is a clear result, and so is an upgrade completed without a call.

The manager will also check the tone. Rate notices must be clear and factual, and they must follow your state rules on advance notice. Reminders should never read like a collection letter, even when an account is past due.

  • Renters who keep their unit through a published rate change
  • Upgrades and resizes completed in the app without a phone call
  • Past-due reminders sent on the schedule your policy sets
  • Opt-out rates for each message type, reviewed every month
What you get

Key features

01

Rate change notices

Renters receive a clear notice before a rate change, with the effective date and a summary of what stays the same.

02

Unit upgrade offers

A renter can move to a larger or smaller unit in a few taps, with the price difference shown first.

03

Packing and climate guides

Guides match the unit type, from boxes and furniture to climate-controlled storage during humid months.

04

Access reminders

Renters get a reminder before holiday closures or extended hours, so they plan a visit without calling the office.

05

Preference control

Renters choose which messages they receive, and the facility keeps a record of each choice.

04

Renewal and access messages in the first release

The first release covers rate change notices, the upgrade and resize offer, and packing and access guides for each unit type. A rate notice explains the new rate, the effective date and what does not change. An upgrade offer shows the next unit size, the price difference and a one-tap confirmation.

Account reminders for past-due balances come with strict rules and approved wording, so they wait until legal review is complete. Referral prompts and loyalty credits can follow once the core messages prove useful.

  • Rate change notices with the effective date and the new rate
  • Upgrade and resize offers with the price difference shown
  • Packing and climate guides matched to the unit type
  • Access reminders before holidays and extended closures
05

A renter's second year, step by step

A renter who has kept a ten-by-ten unit for a year receives a notice in the spring that the monthly rate will rise at the start of next quarter. The message explains the new rate, the date it applies and the option to move to a smaller unit at the current price. It is sent from the facility, with the facility's name and phone number.

A month later the renter's new job brings more boxes. The app shows an offer to upgrade to a larger unit, with the price difference and the earliest move date. The renter taps to confirm, the management software updates the rental and the front desk sees the change in its queue without a phone call.

Near the end of the year the renter receives a short guide on keeping furniture dry in summer, matched to a climate-controlled unit. Nothing else is sent until the next scheduled message, and the renter can turn off guides at any time.

06

Cost drivers for a storage retention app

Cost depends on how many facilities feed the app, how many rental systems you connect and how many message types you run. Each new notice type adds writing, legal review and testing. Our mobile app work starts at $4,500, and the figure is fixed in writing once the scope is agreed.

Scope stays contained when each notice type has an approved template and a legal sign-off before design begins. We would keep the first release to rate changes, upgrades and guides, then add account messages only after review. Post-launch support covers new facilities and changes in state rules.

FAQ

Questions we hear

Still curious? Call +1 254 323 2698 or write to info@sizgroup.com.

Can we send rate increases by text as well as email?+

Yes, if the renter has opted in to texts and your state rules allow the notice. Texts follow the Telephone Consumer Protection Act consent rules, and every message includes a way to stop. We would confirm the wording and the notice period with your counsel before launch.

Will this help renters stay through a rate increase?+

It can, because a renter who understands the change and the options is less likely to leave in a hurry. The app gives them a clear choice, such as a smaller unit at the current price, rather than leaving them to discover the change on the next bill.

How do you handle renters who ask to stop receiving messages?+

The opt-out takes effect across every channel the app uses and is recorded with a time stamp. Renters who opt out of marketing still receive legally required notices, such as rate and access changes, and we confirm that list with your counsel.

Does the app change anyone's rent?+

No. Rates are set in your management software and your rate policy, and the app only shows them. Any upgrade or resize updates the rental through the software, which keeps billing in one system.

What should we track first?+

Start with the number of renters who stay through a rate change and the number of upgrades completed in the app. Both come from your management records, so you can compare them with the same sites before launch.
